Collect only what is needed
Every form, mailing list, and directory starts with one question: what do we actually need? Less data collected means less to protect, and less to explain to your participants.
Notices that fit your institution
Privacy notices, cookie controls, and consent wording written to your institution’s own standard, and raised with your data protection officer early rather than the week before launch.
Agreements before data moves
Where we handle personal data on your behalf, a data processing agreement is put in place alongside the contract, not after the fact.
Every tool checked
A form builder, mailing platform, or app connected to your data is a sub-processor. We name each one, get it approved, and work within your requirements on where data is hosted.
No surprises at the end
When a project ends you receive a full export of your content and a written handover that explains where every piece of data lives.

Who we are
This website is run by Academic Digital Limited, a company registered in England and Wales (number 09093642), Ffrith Agored, Pwllglas, Ruthin, LL15 2LS. We are registered with the Information Commissioner’s Office (registration number ZB209108) and are the controller of the personal data described here. You can contact us about your data at martin@academicdigital.co.uk.
What we collect
If you use the contact form, we collect the details you type in: your name, email address, organisation and project type (both optional), and your message. If you email us directly, we keep the message and your address.
If you simply visit the site, this website sets no cookies and uses no advertising or profiling. Our fonts and images are served from the website itself, so your visit is not shared with Google. We use no analytics. The only outside service is the spam check on the contact page, described below. Our hosting provider processes standard technical data, such as your IP address and browser type, to deliver pages and protect against abuse.
Why we use it, and our legal basis
We use your details to reply to your enquiry and to take the steps you ask for before any agreement (contract), and for our legitimate interests in running a business, keeping this website secure. We do not use your details for marketing, and we do not sell or share them.
Who handles it for us
- Cloudflare hosts this website and runs a spam check (Turnstile) on the contact form, which decides whether a visitor is human without asking you to solve a puzzle.
- Postmark delivers your form message to us as an email.
- Google Workspace runs our email, where your message is then stored.
Nothing from the contact form is stored on the website itself. Some of these providers are based outside the UK; they use recognised safeguards for international transfers.
How long we keep it
Enquiries that do not lead to work are deleted after two years. If we work together, we keep records for the length of the contract and for as long afterwards as legal and accounting rules require.
Your rights
You can ask us to see the personal data we hold about you, correct it, delete it, or restrict how we use it, and you can object to our use of it. Email martin@academicdigital.co.uk and we will respond within one month. If you are not happy with how we have handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk.
Changes
If we change how we use personal data, we will update this page and the date above.
